Who we are and what these terms cover

EuroExpo Desk (euroexpodesk.com) is operated by Packsy Global B.V., KVK 99226057, Athenesingel 100, 2548 TH Den Haag, Netherlands, email [email protected].

These terms apply to everyone who uses the website. By creating an account, submitting a request or applying as a service provider, you accept them. How we handle personal data is explained in the privacy policy.

The platform is meant for businesses: exhibitors preparing for European trade fairs and companies that provide exhibition services. If you use it as a consumer, you keep the mandatory rights that consumer law gives you.

What the platform does

  • We list dates, venues and official sources of selected European trade fairs.
  • Exhibitors can submit requests for five services: exhibition stand building, exhibition interpreting, exhibition transport, exhibition catering and exhibition reception.
  • We review requests and provider applications by hand and introduce exhibitors and approved service providers to each other.

We are not a party to any agreement between an exhibitor and a service provider. We take no part in quotes, contracts, payments or the work itself, and we do not act for either side. Agree scope, price, insurance, taxes and cancellation directly with the other party, and check who you are paying before you pay.

Free testing phase

The platform is in a free testing phase. Finding exhibitions, submitting requests, applying as a service provider, review and introductions carry no platform fee, and the website takes no payments.

A free platform does not mean free services: service providers quote and charge for their own work.

Features may change, pause or end during the testing phase. If we introduce paid features, we will explain the price and conditions beforehand, and nothing will be charged without your explicit agreement.

Accounts

You sign in with a code we send to your email address. Use an address you control, keep sign-in codes to yourself and sign out on shared devices.

If you register for a company, you confirm that you may act for it. Keep your details accurate and up to date.

Tell us straight away if you think someone else has access to your account.

Exhibition information

Exhibition data comes from the official sources of organisers and venues, and each page shows when we last checked it. The catalogue does not cover every European trade fair and may contain errors or outdated details. Confirm dates, venues, deadlines, prices and rules with the organiser before you decide or pay. You can report an error through Help & contact.

Organiser names, logos and trademarks belong to their owners. Listing a trade fair does not mean the organiser works with us or endorses the platform.

Requests from exhibitors

Describe your needs accurately and include only information you are allowed to share. Do not include sensitive data such as identity documents or bank details.

We review each request. We may ask for more details, shorten or reword the text we show to providers, or decline a request that is unclear, falls outside our five services or appears abusive.

After review, signed-in service providers see the request text without your contact details. When we introduce you to a provider, we pass on the contact details needed for the introduction.

We cannot promise that a provider will respond, quote or be available.

Service provider profiles and review rules

To be shown to exhibitors, a service provider needs an account with the provider role, a complete profile (company, country, service categories, description) and consent to be shown.

Our review checks:

  • that the company exists, using its website, a business register or equivalent public information;
  • that the service categories match the description;
  • that the company provides the service locally in Europe.

We may ask for more information, and we may refuse or withdraw approval if details are missing, misleading or no longer correct. There is no fixed turnaround time.

Three statuses are separate. Approved means we have checked the company and service details. Verified means we have also checked identity or qualification documents. The service record counts only services we have confirmed as completed. None of them guarantees quality or performance.

Public profile fields must not contain email addresses, phone numbers or other contact details, nor personal data of others without their permission. Material changes need a new review, and the profile is hidden until then.

You can stop being shown at any time by withdrawing your display consent in the service provider workspace. Approval does not guarantee any number of requests or any business.

Ratings and reviews

Only the exhibitor of a service we have confirmed as completed can rate it, once, from 1 to 5, with an optional comment. Comments must be fair, based on the actual service and free of contact details. Test services and test reviews are not counted.

Profiles show the number of completed services, the average rating and the number of reviews. A featured badge requires at least five real reviews and an average of 4.5 or higher. Ordering takes both rating and number of reviews into account, and having no reviews is not treated as a poor rating.

We may remove reviews that are unlawful, abusive or clearly not about the service, and we tell the author why.

Acceptable use

Please do not:

  • submit false, misleading or unlawful content, or pretend to be another person or company;
  • use other people's personal data without permission;
  • send spam, harass anyone, or use contact details from the platform for unrelated marketing;
  • bypass the human check, sign-in or access controls, or test the platform's security without our permission;
  • copy the catalogue in bulk or scrape the platform with automated tools;
  • upload malicious code or overload the service.

If these rules are broken, we may remove content, hide a profile or request, or suspend or close an account. What we do depends on how serious the problem is.

Reporting content and our decisions

If you believe content on EuroExpo Desk is illegal or breaks these terms, email [email protected]. Please include the exact address of the content, why you think it is illegal or breaks the terms, your name and email address, and a statement that your report is accurate and complete to the best of your knowledge. The "Something else" email on the Help & contact page is a good place to start.

A person reviews every report, carefully and objectively. We do not use automated tools to moderate content.

If we remove or restrict your content or account, we will tell you what we did and why, unless the law prevents it. You can reply to that email to ask us to look again, and you can also go to court.

Contact point: authorities and users can reach us at [email protected] in English, Chinese, German or Dutch.

Content and intellectual property

The website's texts, design and catalogue are ours or used with permission. You may use them for your own exhibition planning. Organiser names and trademarks belong to their owners.

You keep the rights to what you submit. You allow us to store it, review it, adjust it for display (for example by removing contact details) and show it on the platform as described in these terms, for as long as it is on the platform. We do not use your private drafts or requests for marketing.

Liability

We run the platform with care, but during the testing phase we provide it free of charge and as it is. We do not guarantee that it is always available, complete or free of errors.

We are not liable for the services, quotes or conduct of service providers or exhibitors, for information from organisers or other third parties, or for decisions you make based on information on the platform.

As far as the law allows, we are not liable for indirect or consequential loss, such as lost profit or a missed trade fair. Nothing in these terms limits liability for intent or deliberate recklessness (opzet of bewuste roekeloosheid), or any liability that cannot be limited by law.

Suspension and ending use

You can stop using the platform at any time. How to have your account deleted is explained in the privacy policy.

We may suspend or close accounts that break these terms, and we may change or stop the platform. If we stop it, we will tell account holders in advance where possible.

Changes to these terms

We may update these terms, for example when features change, and we show the new date at the top. If a change materially affects registered users, we will let them know by email or on the website before it applies. If you do not agree, you can stop using the platform.

Applicable law and disputes

Dutch law applies. If something goes wrong, please contact us first so we can try to solve it together. If that does not work, the court in The Hague (Rechtbank Den Haag) will decide, unless mandatory law gives you a different court.
